Role Overview

The Executive Assistant is a critical partner to the leadership team at Promise. This role exists to create leverage: you make it easier for leaders to focus on decisions, customers, and outcomes by managing the operational flow around them. You anticipate needs before they surface, solve problems quickly, and bring clarity and structure to fast-moving work.

You will play a key role in how our leadership team operates day to day. You will independently manage complex calendars, coordinate internal and external meetings, prepare leaders for what is coming next, and ensure follow-through on commitments. This role requires sound judgment, discretion, and responsiveness, especially when navigating shifting priorities or time-sensitive requests.

What You’ll Do

  • Create order in a dynamic environment by managing calendars, priorities, and meeting flow for 5–6 leaders

  • Make independent scheduling decisions based on a deep understanding of each leader’s priorities, working style, and peak productivity windows

  • Ensure meetings start with clarity by preparing agendas, confirming attendees, coordinating materials, and capturing follow-ups

  • Strengthen cross-functional execution by coordinating with internal Promisers and external partners to move work forward

  • Provide backup support across the leadership team as needed, including urgent scheduling, confidential requests, travel coordination, and high-stakes communications

  • Coordinate travel that supports efficiency and minimizes friction, including itineraries, logistics, and real-time adjustments

  • Create leverage for leaders by identifying bottlenecks, filling operational gaps, and stepping into projects where extra support is needed

  • Support a culture of clarity and consistency by modeling communication norms the organization relies on—timely updates, context-rich messages, and proactive problem solving

  • Represent Promise with professionalism in all interactions, especially with external partners and stakeholders

  • Adapt quickly to changing priorities and handle after-hours needs when critical work or urgent requests arise
